Stop Undermining Yourself in Emails: The Power of a Professional Voice

Hi Introverts,

If you’ve ever felt ignored in meetings, overlooked for promotions, or uncertain about how to assert yourself at work, your emails might be part of the problem.

Many introverts unintentionally weaken their presence by writing in a passive voice—a habit that can make them seem uncertain, hesitant, or even unqualified. I realized I was using passive voice in my emails when I read an HBR article that explained the differences. From that point onward, I changed my tone and never looked back. I can even spot when someone is using passive voice!

Let’s fix that.

What Is Passive Voice?

Passive voice shifts focus away from who is responsible for an action. It often sounds vague and indirect.

Passive: The report was completed yesterday.
Professional: I completed the report yesterday.

Passive: It would be great if feedback could be provided.
Professional: Could you provide feedback by Wednesday?

In passive voice, actions seem to happen on their own, and you become invisible.

Why Does This Matter?

Using a professional, direct voice in your emails:
Builds credibility – You sound confident and competent.
Earns respect – Clear communication establishes authority.
Gets results – People respond to clarity, not hesitation.

Contrast these two emails:

Weak, Passive Email:
"Hi [Manager’s Name], I was wondering if maybe a conversation about my career growth could be arranged at some point? It would be great to discuss potential opportunities if possible."

Strong, Professional Email:
"Hi [Manager’s Name], I’d love to set up a time to discuss my career growth and next steps at [Company]. When would be a good time for you?"

See the difference? The second email gets you noticed. The first one gets ignored.
